SharePoint Cloud Integration & Memo Workbench

The Challenge

The client stored engineering specs, quality certificates, and vendor drawings across scattered local network folders. Inside Epicor, users had difficulty maintaining document attachments, and standard Epicor attachment storage did not offer native version control or automated cloud synchronization.

Furthermore, whenever engineering released a new revision of a technical drawing, purchasing teams had to manually hunt down the latest PDF file, verify which suppliers in specific regions handled the part, and manually email the revised files. This manual workflow frequently resulted in suppliers manufacturing against obsolete drawing revisions.

The Solution

I engineered a complete bi-directional SharePoint Cloud document management bridge integrated directly into Epicor:

• Direct Screen-to-SharePoint File Upload: Developed custom UI logic allowing users to browse and attach files from within the Epicor screen, directly streaming the file payload to SharePoint Cloud via REST endpoints without requiring local server storage.
• Custom Memo Workbench Dashboard: Created an interactive workbench dashboard displaying all attached files with live metadata. Users can view, download, rename, and delete files with appropriate permissions.
• Integrated Version Control: Every file upload includes a revision and version selection picker, preserving historical revision logs in SharePoint while tagging the current active version in Epicor.
• Region-Based Supplier Distribution Engine: Implemented automated logic that detects when a new drawing revision is committed, checks the part's approved vendor matrix, and automatically transmits the updated documentation to suppliers based on geographical region rules.

The Results

The integration centralized all technical documentation into an enterprise-grade cloud repository while keeping operational workflows entirely within Epicor:

• Zero Obsolete Revisions: Automated supplier notifications eliminated manufacturing errors caused by outdated drawings.
• Instant Document Access: Shop floor operators and purchasing agents retrieve verified SharePoint documents in one click from the Memo Workbench.
• Clean Audit Trail: Complete version history and transmission logs are tracked automatically against Epicor part and job records.
