Automated CustID Generation & Rule Validation

The Challenge

Customer onboarding at the client relied on manual user discretion to create and input `CustID` keys. Over years of operation across multiple sales teams, users invented arbitrary abbreviations, used inconsistent prefix styles, and occasionally created duplicate customer records with minor spelling differences.

This lack of standardization caused severe issues downstream: automated EDI ordering systems failed when matching customer codes, consolidated credit limits could not be evaluated accurately, and external CRM sync jobs threw repeated key collision exceptions.

The Solution

I engineered a seamless, semi-automated CustID generation solution directly within Epicor's Customer Entry application:

• Custom Screen-Level Action Button: Placed an intuitive "Generate CustID" action directly on the Customer Maintenance interface. When clicked, it activates an automated logic engine while still allowing the operator oversight before final commit.
• Algorithmic Taxonomy Logic: The underlying generator evaluates the customer name, corporate region, industry classification, and queries the database for the next sequential key adhering to company taxonomy standards (e.g., standard prefix + alphanumeric counter).
• Real-Time Collision & Duplicate Check: Before populating the field, the script conducts an asynchronous database validation to guarantee the candidate `CustID` is completely unique across all company databases.
• Pre-Commit BPM Enforcement: Developed a supporting Method Directive on `Customer.Update` to block manual overrides that violate corporate formatting patterns, ensuring long-term data governance.

The Results

The implementation delivered immediate improvements in data quality and user productivity:
